Regional Secretary elections, 2021

Our current Regional Secretary, Valerie Hodges, has served our little organization faithfully and valiantly — and, alas, is prevented by our bylaws from running for another consecutive term.

With thanks to Valerie for her dedicated service, we need to turn our attention to electing her successor.

As an elected officer, the Regional Secretary (RS) is a member of the Executive Committee, which is charged with managing the affairs of the Region and exercising all the duties and powers of the Region as set forth in the bylaws (https://jasnakc.org/bylaws/). The specific duties of the RS are outlined as follows:

Section 8.  Duties of the Secretary Records the minutes of all planning and business meetings as needed and distributes the minutes to Regional Coordinator and region members.  Keeps copies of all minutes of meetings in the Region’s Record Book. May assist the RC in other miscellaneous duties.

Please note that, for this election, we will follow a different timeline than in years past:

1. Nominations for the role of Regional Secretary (RS) open today (Friday, 8/6/2021) at 3:00 p.m. CST. Any member in good standing may nominate her/him/hirself; members may nominate one other as well. Check your membership status at jasna.org/login.

2. Nominations will close on Saturday, 8/14/2021 at 5:00 p.m. CST.

3. The RC will confirm with all nominees that they wish to run for office and are willing to carry out the duties of the position, starting on12/16/2021 and continuing for two years.

4. No later than Monday, 9/13/2021, the RC will provide the current membership list with the ballot for the RS election.

5. The election will take place on Saturday, 10/9/2021, at 2:00 CST, at a meeting of the region conducted via Zoom — so long as this meeting consists of a 15% quorum of active members (currently, that means 16.5 members in attendance; we’ll round up to 17, ha ha). Note that this meeting may be combined with an event such a book discussion, in which case the election will take place before the program.
We will use Zoom’s polling feature, which will allow attendees to cast anonymous votes, much like a paper ballot.

6. Advance voting by e-mail or mail will be allowed if a member requests an e-mail or paper ballot no later than Saturday, 9/25/2021 at 2:00 p.m. (at least two weeks before the election meeting, per bylaws). In order to be counted, the completed e-mail or paper ballot must be returned to an Executive Committee member by Friday, 10/8/2021 at 11:59 p.m. (the day before the election, per bylaws).
